  • Please send in your Pre-Season Swim Donation/Fee by dropping off a check to the pool deck mailbox or using one of the links above.  Checks should be made out to Oilers ABC and include your swimmers name on the memo line.  Suggested fee is $250.

VOLUNTEERING

Dear HBHS Oiler Families,

Welcome to all new and returning swim families!

During the 2024/2025 season there will be many opportunities to volunteer!  The Swim Program is only successful with the help of all of our HBHS Oiler families and supporters! Volunteers are a necessity for a variety of duties.  Please review the volunteer opportunities listed below and see how you can help! Please consider attending the Oilers ABC board meetings held on the second Tuesday of each month at 7pm, in the team room, located on the pool deck.  We look forward to seeing everyone on deck!

VOLUNTEERS NEEDED

Banquet Coordinator Needed:  This is our biggest event of the year. (Can be done alone or with a friend) Work with the venue secured by the liaisons to coordinate food, drink, dessert, decorations, team gifts, coach gifts, music, videos and athlete yearbook program within budget.  Coordinate additional volunteers for set up and clean up.

Sign Up Genius Coordinator Needed: Create and post sign ups on the team website for volunteer requests (3 home swim meets, 2 team dinners and additional events as needed).

Team Photo Coordinator Needed: Coordinate team picture day with coaches and photographer (Danny Minton).  Gather and organize pictures to be distributed at the banquet. Submit digital copy of team photos to HBHS yearbook coordinator (Jillian Jontig).

Photographer Needed: Volunteer to take photos at home meets All supporters are welcome to take pictures. The pictures will be used for the banquet yearbook program and the team banquet slide show. Pictures can be posted to a shared team account TBD.

Swim Meet Announcer Needed: During home swim meets, provide music and announce swim race/heat, swimmers’ names, and heat winners.

Timers: For each of our 3 home meets, we will need lane timers (2 per lane/6 lanes) for both 1st and 2nd half positions. A Sign Up Genius link will be posted on the website prior to the 1st meet.  This is the best seat in the house to watch your swimmer!

Snack Bar Coordinator-Marie Finnery (Jayme's mom): Create, plan, and coordinate donations to keep inventory available to sell during all 4 home meets. Create signage and decorate the menu board.  Oversee snack bar volunteers during each home meet. Count and hand off money to liaison or board treasurer after each home meet.  Clean up and close the snack bar each meet and at the conclusion of the season.

Senior Meet Coordinator-Beth Lammers (Jackson's mom): Coordinate decorations, music, timeline, and senior gifts all within budget.  Coordinating volunteers for event day help. If senior parents would like to be involved to make this last season and home meet a memorable one for your Senior swimmer please reach out to the senior meet coordinator. Senior dinner and senior day ceremony will be held on the pool deck on 4/2 after practice.  The senior meet will tentatively be on 4/3.

Team Party/Dinner Coordinator-Rachel Scruggs (Eden's mom): (Can be done alone or with a friend) Coordinate 2 Team Dinners tentatively on 3/10 and 4/2 to be held at the Student Center.  Choose a caterer or collect donations within budget, create theme, as well as coordinating additional volunteers to set up, clean up and serve food to athletes.

Team Apparel Coordinator-Robin Guard (Lucy's mom): Coordinate with vendors to choose apparel and set up team stores for online purchase of required team uniform and optional team gear/fan gear. Oraganzie and distribute team gear.

Dine Out Fundraisors-Brooke Wright (Grady's mom): Secure 2-3 dine out locations and dates; fill out approval request form and submit to Jen Sweet (HBHS).  Advertise upcoming dine out event to swim families. 

Scoreboard and Computer/Data Entry Operator-Robin Guard (Lucy's mom) and Beth Lammers (Jackson's mom): Operate CTS system to collect event data and times during home swim meet.
